Purpose and Introduction
At Skreen Family Practice we are committed to providing high-quality healthcare services to all
our patients. To enhance the efficiency and accuracy of our documentation, we are integrating
dictation software into our clinical workflow. This technology allows us to record patient notes
more swiftly and accurately, ultimately improving patient care and enabling us to focus more on
direct interaction with our patients.
The dictation software being used is Mappill AI, which is GDPR-compliant and widely used
across the Europe in healthcare settings. We are confident that this will improve our
documentation process, allowing for better care delivery.
What is Dictation Software?
Dictation software, like Mappill AI, allows healthcare professionals to dictate their notes
verbally during patient consultations. These voice recordings are automatically transcribed into
written text, which becomes part of your medical record. This system enhances the speed of
note-taking and reduces the administrative burden on healthcare professionals, giving them more
time to focus on your care.
How It Works
During your consultation, your healthcare provider may use the dictation software to record
notes. This could include a verbal summary of your medical history, examination findings,
diagnoses, and treatment plans.
The process is as follows:
1. Voice Dictation: Your doctor or healthcare provider will speak into a microphone or
other voice-recording device, dictating notes about your consultation.
2. Automated Transcription: The voice data is then automatically transcribed into text by
Mappill AI software.
3. Review and Finalisation: The healthcare provider reviews and finalizes the text before it
becomes part of your medical record.
Data Privacy and Security
We take your privacy seriously. The dictation software is fully compliant with the General Data
Protection Regulation (GDPR), ensuring that all personal health information is processed
securely and confidentially.  Every data transmission is secured over encrypted SSL channels.
The Mappill AI system processes the encoded audio from our dictation, transcribes it, and
directly returns the results to our computers. Rest assured, they neither record nor store any of
your inputs or outputs.

ï‚· Right to Withdraw: If, at any time, you do not wish for your consultation to be recorded
via dictation software, please inform your healthcare provider, and an alternative method
of documentation will be used.

Consent
By continuing with your consultation, you consent to the use of dictation software for recording

arrangements will be made.
